Bringing a WhatsApp price request into Vuntus
Bring a chemical price request from WhatsApp into Vuntus by pasting the message or uploading an exported chat: the steps, the limits and a few tips.
When a customer sends a price request by WhatsApp, you have two options: copy the messages and paste them into the Documents › WhatsApp tab, or export the chat "Without media" and upload the .txt or .zip file you get. Vuntus does not connect to your WhatsApp account; it reads only the text you give it.
Who can do this: the Owner, Manager and Sales roles, for the branches and customers they have access to. Viewers cannot take requests. For the other intake routes, see Receiving requests.
Steps
- Open the WhatsApp tab
Go to Documents in the sidebar and choose the WhatsApp tab.
- Choose the branch and customer
Pick who the request belongs to in the Branch and Customer fields. Only the branches and customers you have access to are listed.
- Paste the messages or choose the chat
For a short request, paste the messages into the Message box as they are. For a longer conversation, choose the .txt or .zip file under or an exported chat (how to get it is below).
- Create the request
Select Create request. You see "WhatsApp request received"; the security check and line extraction start, and you follow the result in the Documents list. Once created, the request lands in the Request queue on the dashboard.
How do I export a chat from my phone?
In WhatsApp, open the chat. On Android, tap ⋮ (More options) › More › Export chat and pick Without media. On iPhone, tap the contact or group name, choose Export chat and pick Without media. Your phone produces a .txt file, or a .zip containing one; send it to yourself and upload it to Vuntus from your computer. Menu names vary slightly between phones and app versions; the current instructions are in the WhatsApp Help Center.
What is read from a message, and what is not?
- Only the message text is read. Media such as photos, voice notes, videos, documents and stickers is not opened.
- Date, time and sender prefixes in Android and iPhone exports are removed; sender names and phone numbers from those files are not stored.
- Lines copied from WhatsApp Web or the desktop app start with the time, as in “[14:02, 30.09.2026] Name:”; this prefix is not removed today, so the name or number stays in the document text. Delete the prefix before pasting, or export the chat instead.
- System notices (encryption notes, group events), "media omitted" lines and deleted messages are skipped.
- A message spanning several lines is read line by line; each line can become a separate request line.
- If you submit the same message twice, no second record is created ("This message has already been received").
- If the message has no readable lines (only media, deleted messages or system notices), no request is created and the reason is shown on screen.
| What | Limit |

| File type | Only a .txt or .zip exported from WhatsApp |
| File size | Up to 5 MB |
| Text read | Up to 1 MB |
What reads most cleanly?
One product per line: product code, quantity, unit. Without a code, candidates are searched by product name, but a line with a code goes through with fewer questions.
NAOH-99 1000 kg
HCL-37 250 kg
IPA-995 120 kgOnce the request is created, you review its lines: Reviewing request lines.
Frequently asked questions
Does Vuntus connect to my WhatsApp Business account?
No. Vuntus has no connection to WhatsApp or WhatsApp Business. You paste the messages or upload the chat file you exported.
Does it read voice notes or a list sent as a photo?
No. Media is not opened in the export, and Vuntus does not read lines from images. If the customer sent the list as a photo, you enter the lines on the request page with Add line.
Are the sender's name and phone number stored?
In exported chat files (Android and iPhone), the date, time and sender details at the start of each message are removed, and only the message text is kept. The “[time, date] Name:” prefix on lines copied from WhatsApp Web or the desktop app is not removed today; delete it before pasting, or export the chat instead. The request is linked to the customer you choose.
