Vuntus searches only your own catalog and takes prices only from your own price list. Both come in as a single CSV file: Catalog › Import catalog. An import replaces the whole current catalog and works all or nothing: if even one row in the file is invalid, nothing changes and the invalid rows are listed on screen.

Who can do this: the Owner and Manager roles only. Colleagues with the Sales or Viewer role can see the catalog and prices but cannot change them.

How do I import the catalog?

  1. Open the import window

Go to Catalog in the sidebar and select Import catalog next to the page heading.

  2. Download the template

Use Download sample template to get catalog-template.csv. Open What do the columns mean? in the window to see what every column is for.

  3. Fill in the file

One product per row. The first row holds the column names, written as in the template; column order is free. Prices and numbers use a dot as the decimal separator (58.00), and dates are YYYY-MM-DD.

  4. Say what the data is

Answer What is this data? with Demo / synthetic data or Real customer data (authorised for use). Demo data is used during the pilot.

  5. Upload the file

Use Choose file to pick the CSV, or paste its contents into the box, then select Import. On success you see "Imported … products and … prices."

What format does the file need?

  • CSV only. An Excel (.xlsx) catalog cannot be imported directly; save it from Excel as CSV UTF-8.
  • The separator must be a comma. On computers set to some regional formats (Turkish, for example), Excel may use a semicolon (;) instead; open the file in a text editor and check the first row.
  • The character encoding must be UTF-8, or accented letters in product names will be garbled. The template downloads as UTF-8.
  • The file can be up to 5 MB.

Which columns are there?

The column names are part of the file format and are not translated. Only the first group is required; fill in the rest as far as you can.

Catalog CSV columns
GroupColumnsNote
Requiredmanufacturer, code, name · sectorA product is identified by its manufacturer and code together. A blank sector counts as chemical.
Chemical product detailschemical_class, cas, grade, concentration, concentration_basis, pack_size, pack_unit, supplier_registration, sds_country, sds_language, sds_versionconcentration is a percentage number (e.g. 37). For substance and mixture products, if sds_country, sds_language and sds_version are not all filled in, the line cannot be confirmed (No Safety Data Sheet (SDS) on record).
Sales and pricingsku, unit, currency, unit_price, price_unit, valid_from, valid_until, customer_id, min_quantity, basis_quantitycurrency is TRY, USD or EUR only. A blank price_unit means the sales unit. customer_id: the customer's Vuntus ID, not the account code (see the warning below).
Stock, order rules and conversionsstock_qty, stock_as_of, moq, conversion_from, conversion_to, conversion_factor, cross_sellOptional. cross_sell: comma-separated product codes to suggest on the review screen when this product is confirmed.

Why should chemical_class not be left blank?

chemical_class is required in practice. A Safety Data Sheet (SDS) is expected for substance and mixture, and not for article (gloves, jerrycans and similar). A product left blank appears on the review screen with Product class not set and cannot be confirmed. Linking and verifying the SDS document itself: Technical documents.

How do I enter prices, tiers and customer prices?

  • Prices come only from this file. A product without a price shows No price in the catalog and cannot be priced in a quote.
  • You add a quantity tier (min_quantity) or a customer-specific price (customer_id) by repeating the product on a second or third row. The product details on those rows must be identical; stock, order rules, conversion and cross-sell are read from the product's first row only.
  • valid_from and valid_until are applied: an expired price is not used, and the line stops with "The price has expired".
  • If more than one price record qualifies for a line (list price, customer price, tier), Vuntus uses the lowest one per unit. Price source in the quote preview shows which one was used.
  • There is no currency conversion and no cost or margin field.

Example prices are not market prices; the example shortens the customer ID to C1. If a customer price is higher than the list price or a tier, the lower one is used; set up your customer prices with that rule in mind.

How is a product requested in litres priced in kilograms?

Mass-to-mass (tonne → kg) and volume-to-volume (mL → L) conversions are fixed and applied automatically. Volume to mass (density) and pack units (drum, jerrycan, IBC, bag, sack, box…) are product-specific: without an approved conversion the line is not priced and stops with The price is in a different unit · unit conversion approval needed. Vuntus does not guess density. For the arithmetic itself, with pack units: Litres to kilograms.

An approved conversion comes in one of two ways:

  1. In the catalog file: the conversion_from, conversion_to and conversion_factor columns. Meaning: 1 conversion_from = conversion_factor × conversion_to. One conversion per product, read from the product's first row.
  2. On the review screen: the Define conversion → link under the line opens the question "How many kg is 1 L? (density)". You enter the factor and a Conversion reason and select Save conversion. The conversion applies to every request for that product version and is written to the audit trail. Only the owner and managers can do this.
EXAMPLE · synthetic data: litre-to-kilogram conversion
codeconversion_fromconversion_toconversion_factorReason (on screen)
IPA-995Lkg0.785Manufacturer's SDS, section 9: density 0.785 g/cm³ at 20 °C
Pure isopropanol has a density of about 0.785 g/cm³ at 20 °C (PubChem). The value that counts is the one in the SDS or technical data sheet of the product you sell.

Why should concentration and grade be explicit in the catalog?

The only request-to-catalog comparison that blocks confirmation is the concentration percentage: if the percentage in a request (e.g. 35%) differs from the catalog's concentration value, the line cannot be confirmed. There is no blocking rule for the concentration basis (w/w, w/v) or grade. So fill in concentration_basis and grade clearly in the catalog; during review your team compares them with what the customer wrote. Why the basis can mean a different product: w/w, w/v, v/v.

What Vuntus does not do with your catalog

  • There is no .xlsx catalog import and no editing of individual products. To change a price or a product, update the file and import it again.
  • It does not sync with your ERP or accounting system and does not read live stock. Stock is the figure and date in the file; stock older than 7 days is marked Stale.
  • It does not convert currencies, and it does not accept currencies outside TRY, USD and EUR, such as GBP.
  • It does not guess density or pack contents.

Once the catalog is in, the next step is receiving requests: Receiving requests: files, email, WhatsApp.

Frequently asked questions

Can I upload my Excel file as the catalog?

Not for the catalog: the import accepts CSV only. Save the file from Excel as CSV UTF-8 and check that the separator is a comma. A customer's request file, on the other hand, can be uploaded as .xlsx; the two are different screens.

How do I add a customer-specific price?

Add a second row for the same product and put the customer's Vuntus ID in the customer_id column (not the account code). The ID is not shown on screen today; ask the Vuntus setup team for it. If it matches no customer, the import gives no warning and the price is never used. A row with an empty customer_id is the list price for everyone. If more than one price qualifies for a line, Vuntus uses the lowest one per unit.

My prices are in USD. Can the quote be in TRY or GBP?

No. Vuntus does not convert currencies; a quote is calculated in the currency of the price. Prices can be held in TRY, USD or EUR, and GBP is not supported today. If a product has valid prices in two currencies, the line is not priced; the screen asks you to keep that product's prices in a single currency in the catalog.

If I import the catalog again, do past requests and quotes change?

No. When a product's details change, a new version is created; past requests stay on the old version, unchanged. The product page shows that record as Older catalog version.
