You get into Vuntus by invitation, not by public sign-up. The Vuntus setup team prepares your company and the first owner invitation; you open your account from the invite link, set up two-step verification (required for team management; we recommend doing it on first sign-in), and work through the Finish setup checklist on the dashboard. Once the checklist is done and setup has been checked, Vuntus opens the company to your whole team.
How do I sign in for the first time?
Who does this: everyone who is invited. Only the Owner and Manager roles see the setup checklist.
- Open your invite link
Your manager sends you a private invite link. The link is valid for 48 hours; Vuntus does not send invitation emails, so the link reaches you from your manager.
- Create your account
On the Accept your company invitation screen, enter Your name and a New account password of at least 12 characters, then select Accept invitation. If you already have a Vuntus account, sign in first and accept the invitation in the same tab.
On the Sign in to Vuntus screen, fill in Email and Password and select Sign in. If two-step verification is on, enter the six-digit code from your authenticator app.
- Set up two-step verification
Open Account security from the account menu in the top bar. When setup finishes, store the recovery codes you are given somewhere safe. It is required for team management; if your company requires it for everyone, you are asked to set it up before you can enter the dashboard. Details: Account security and audit trail.
- Work through the setup checklist
If you are the owner or a manager, the Finish setup checklist appears on the dashboard. It disappears on its own once the three required steps are done (see below).
What if I see another screen instead of the dashboard?
| Heading on screen | What it means | What to do |
|---|---|---|
| Setup in progress | Your company's workspace is being set up. | Your dashboard opens once setup has been checked; you will be notified. |
| Access suspended | Your company's access is currently suspended. Your data has not been deleted. | Contact your company administrator or the support address on screen. |
| Extra verification required | Your company requires two-step verification for this account. | Turn on two-step verification; you then go straight to the dashboard. |
| Multiple companies | Your account belongs to more than one company. | Choose the company you want to enter from the list. |
| No access | Your account does not have access to any company. | Ask your administrator to invite you to the team. |
What is on the Finish setup checklist?
While the company is being set up, only the owner and managers can enter the dashboard. A notice at the top says Setup in progress. Not yet open to your company’s team. The checklist steps are:
| Step | Where | Note |
|---|---|---|
| Add branches and customers | Settings › Branches & assignment (branches) and Customers › Add customer (customers) | Every document and request belongs to a branch and a customer. Only the customer's legal name is required. Details: Customers, branches and assignment. |
| Upload catalog and prices | Catalog › Import catalog | If you upload a catalog without prices, the step stays as Catalog uploaded — price list missing. Details: Catalog and price list. |
| Company identity and quote defaults | Settings › Company & quotes | The legal name, address, tax details, logo and default terms printed on quotes. Only the owner can change them. Details: quote defaults. |
| Invite your team · optional | Team | Not required; the checklist completes without it. Details: Team and roles. |
What is the difference between demo data and real data?
- Every company starts in Demo data mode. The Documents page shows the line Demo data · real customer documents are enabled once setup is complete.
- Demo companies carry a SYNTHETIC DEMO label in their page headings.
- The mode is shown on the Data and virus scanning card under Settings › Data & limits. The owner and managers can see the card; only the owner can use Enable real data mode.
- Real data mode needs three things: general legal approval, your company's legal record being complete, and a real virus scanning engine running. The first is not in place today, so the card does not show the Enable real data mode button and your company works with demo data.
What is each item in the sidebar for?
| Item | What is there | Who sees it |
|---|---|---|
| Dashboard | The Request queue, Needs attention items and the setup checklist | Everyone |
| Documents | Request intake tabs, uploaded documents and their scan status, incoming email requests | Everyone (Viewers cannot submit documents) |
| Catalog | Products, list prices, SDS status; Import catalog | Everyone (import is for owners and managers only) |
| Customers | Customer list, adding customers and CSV import | Owner and Manager |
| Team | Members, roles, branch and customer access, invitations | Owner and Manager |
| Analytics | Pipeline, win rate, channel and branch breakdown | Owner and Manager |
| Audit trail | Who did what, when and why | Owner and Manager |
| Settings | Four sections (below) | Owner and Manager |
Ctrl+K (⌘K on a Mac) opens the command palette: search for requests, customers or products and jump between pages. Ctrl+B (⌘B) collapses or expands the sidebar. You can switch the interface between Türkçe and English with the language switch in the top bar.
What is in each Settings section?
On a wide screen Settings opens with a vertical menu on the left; on a narrow screen the sections become a scrollable strip at the top. Each section has a one-sentence description under its heading.
| Section | What is in it | Who can change it |
|---|---|---|
| Branches & assignment | Branches, a customer summary and Auto-assignment rules | Owner and Manager |
| Request intake | Inbound request email: branch-specific addresses, test senders, customer mapping, WhatsApp status. Details: Receiving requests | Owner and Manager |
| Company & quotes | Company identity, quote defaults, commercial policy | Owner only |
| Data & limits | Data mode, virus scanning status, upload and storage usage (read only) | Only the owner changes the data mode; Vuntus sets the upload limits |
What Vuntus does not do when you start
- There is no public sign-up, free trial or "create your company" flow.
- No invitation or password reset emails are sent; invite and recovery links reach you from a person.
- Upload and storage limits are not a pricing plan; Vuntus sets them to suit your company's volume, and they appear read-only in Settings.
Next step: import your catalog and price list. Importing your catalog and price list explains how to prepare the file. Before the first real request, the chemical RFQ checklist is a useful reminder of what to check on each line.
Frequently asked questions
Can I create a Vuntus account myself?
No. There is no public sign-up and no "create a company" option. The Vuntus setup team prepares your company and the first owner invitation; the owner or a manager then invites the rest of your team from the Team page.
Why does the screen say "Demo data"?
Every company starts in demo data mode. Working with real customer data opens once the legal registration steps are complete; until then, demos run on synthetic data.
I forgot my password. What should I do?
There is no self-service reset and no reset email. Ask your company administrator or Vuntus support: you are given a one-time recovery link that is valid for one hour. You set a new password (at least 12 characters) through the link, and your open sessions are signed out. The link is created by the Vuntus setup team.
Why can't I see Settings in the sidebar?
Customers, Team, Analytics, Audit trail and Settings are only visible to the owner and managers. If you have the Sales or Viewer role, ask the company owner to update your role.
