Team and roles
What each of the four Vuntus roles can do, how to create an invite link, change a role or remove a member, and how branch and customer scope works.
Vuntus has four roles: Owner, Manager, Sales and Viewer. People join a team by invitation only; the invite link is valid for 48 hours and is not emailed, so you send the link yourself. Each member sees only the records of the branches and customers assigned to them, and this rule is enforced in the database, not only on screen.
The team page (Team & invitations) opens from Team in the sidebar and is visible to the owner and managers only.
What can each role do?
The table below matches the What can each role do? table in the app. Every row is enforced on the server; not seeing a button on screen is only a convenience. Why the final decision at the quote desk stays with a person: AI for chemical quoting.

- Owner
- Can do everything. Only the owner manages roles, company settings and the two-step verification requirement.
- Manager
- Runs the work and the team: assignment, catalog, customers, analytics; invites Sales and Viewer members. Cannot change roles or company settings.
- Sales
- Reviews requests, prepares quotes and approves them up to the discount cap. Cannot manage the catalog, customers or the team.
- Viewer
- View only: reads the requests and quotes in their scope and cannot change anything.
Inviting a new member
- Open the team page
Go to Team in the sidebar. The New invitation card on the right is the invite form.
- Enter the email and role
Type the person’s address in Email and pick a Role; a summary of that role appears just below. A manager can invite Sales and Viewer members only; only the owner can invite a manager.
- Choose branches and customers
Tick the records the person will see under Branches — select at least one and Customers — select at least one. They will see only these.
- Create the link and send it
Select Create invite link. A Private invite link appears on screen and is valid for 48 hours. Vuntus does not send an email: you send the link to the person yourself.
- The invitee creates their account
The person opens the link, enters their name and a password of at least 12 characters, and selects Accept invitation. If they already have an account, they sign in first and accept the invitation in the same tab. The invitation can only be used with the email address it was created for.
Invitations not yet accepted are listed under Pending invitations; select Revoke invitation to withdraw one. If an invitation expires, create a new link. The Owner role is never given through an invitation on the Team page: the Vuntus setup team creates the company and the first owner's invite link.
Changing a role and removing a member
The Members list shows each person’s role and status; the owner also sees a “Verification off” badge next to members who have not turned on two-step verification. The actions on a member’s row:
- Change role (owner only): branch and customer scope stay the same. You cannot change your own role, and the company’s last owner cannot be demoted. If an owner is demoted, no one on the team can give the owner permissions back; ownership can only be restored by the Vuntus setup team.
- Remove from team (owner; a manager only for Sales and Viewer members): to confirm, you type the person’s email. Their access ends immediately; the requests, quotes and audit records they prepared stay as they are.
- Reinstate (owner only): brings a removed member back. No one on the team can reinstate a removed owner.
Scope: who sees what?
Everyone sees only the records of the branches and customers assigned to them. A newly added branch or customer is assigned to the owners and to the manager who added it; it is not added to other members’ scope automatically.
- The rule is enforced in the database, not just on screen; a record outside someone’s scope does not appear in any list or search.
- A member’s scope is chosen when they are invited. Today there is no screen to widen or narrow it afterwards.
- Assignment is limited by scope too: a request can only be assigned to a member whose scope covers it. See Customers, branches and assignment.
Why does team management require two-step verification?
Creating or revoking invitations, changing roles, removing or reinstating members and changing the two-step verification requirement need two things: two-step verification must be on for your account, and your session must have been signed in within the last 15 minutes. If either is missing, the form appears locked and the screen offers Set up two-step verification or Sign in again.
The owner can make it required for the whole team with Require two-step verification for everyone on the same page. For setup and recovery, see Account security and audit trail.
What Vuntus does not do on this screen
- It does not send invitation, reminder or notification emails.
- There is no public sign-up; the Vuntus setup team creates the company and its first owner (Getting started).
- It does not grant the Owner role from the team screen.
- It does not offer a screen to change a member’s scope afterwards.
- It does not offer a screen for personal discount limits; the Sales cap is one company-wide value.
Frequently asked questions
Why didn’t an invitation email arrive?
Vuntus does not send invitation emails. Create invite link produces a private link on screen; you send that link to the person yourself, by email or another channel. The link is valid for 48 hours.
Can a manager invite another manager?
No. A manager can create invitations for the Sales and Viewer roles only. Only the owner can invite a manager, and the Owner role itself is never given by invitation; the Vuntus setup team sets it up.
What can a Viewer see?
A Viewer can read the requests and quotes within their scope and cannot change anything. They cannot upload documents, decide lines, or create or approve quotes. The Customers, Team, Analytics, Audit trail and Settings pages are hidden from them.
What happens if an invite link expires?
The link no longer works, and the acceptance screen says the invitation may have been used, revoked or expired. Create a new invite link for the same person on the team page and send it again.
