Vuntus is software that turns chemical distributors' incoming price requests into quote drafts built from your own catalog and price list, with every line traceable and approved by your team. It reads requests with rule-based software, not an AI model, and it stops and asks when a line is unclear. It does not send quotes or connect to your ERP; quotes are exported as PDF, HTML or CSV.

Who is Vuntus for?

The quote desk of a chemical distributor: the sales team, sales manager and owner who read price requests, find the product in the catalog, take the price from the list and approve the quote. Requests arrive by email, WhatsApp, Excel or PDF; Vuntus brings them into a single queue.

How does Vuntus work?

Every request goes through the same six steps. What each step looks like on screen is covered in the relevant pages of this guide.

Six steps from request to quote
StepWhat happens
1. UploadWhatever channel a request comes through, it lands in one place: a file, pasted email text, a branch-specific email address or WhatsApp text. Receiving requests
2. ScanEvery file is virus-scanned first. A file that does not come back clean is not processed.
3. ExtractVuntus reads the request line by line: which product code, how much, which unit and, if given, which concentration percentage. Any value it is not sure of is left blank and flagged.
4. ReviewYour team settles each line with Confirm or Reject. A product that does not fit stops here; you decide unclear quantities. Reviewing request lines
5. PricePrices come only from the price list you imported. A line with a problem never gets a price. Catalog and price list
6. QuoteYou approve, the document is issued. Any line you cannot supply is stated plainly on it.

What does Vuntus do?

  • Takes requests in five ways: file upload (text-based PDF, PNG, JPEG, XLSX, CSV; up to 5 MB per file), pasted email, a branch-specific forwarding address, pasted WhatsApp messages and an uploaded exported WhatsApp chat.
  • Reads and matches lines with rule-based software; it gives no numeric confidence score and shows the type of every suggestion and the reason for it.
  • Searches only your own catalog. If nothing matches it says No match. The best candidate is listed first, but no line is confirmed until a person confirms it.
  • Takes prices only from your own price list. The list can hold customer-specific prices, quantity tiers and validity dates; Price source on the quote shows which price record was used.
  • Does not price a quantity that can be read two ways, such as "1.000", until a person chooses.
  • Will not let a line be confirmed when the concentration in the request does not match the catalog product; human approval cannot override this.
  • Does not price a product requested in litres and priced in kilograms until an approved, product-specific conversion exists. It does not guess density; the conversion is recorded with its reason.
  • Will not let a quote containing a chemical product be approved without a verified Safety Data Sheet (SDS) record linked to the product.
  • Leaves every line for human approval. A quote is never approved on its own.
  • Works with four roles: Owner, Manager, Sales and Viewer. Each person sees only requests for the branches and customers they have access to.
  • Protects accounts with a password of at least 12 characters. Any user can turn on two-step verification and the owner can require it for the whole team; team management actions always require two-step verification and a session opened within the last 15 minutes.
  • Writes who did what, when and why to an audit trail that cannot be edited.
  • Works in Turkish and English, and produces the quote document in Turkish or English.

What does Vuntus not do?

  • It does not use an AI model, OCR or "self-learning" matching. It does not read lines from scanned PDFs or photos.
  • It does not connect to WhatsApp automatically, and it does not connect to your Gmail, Outlook or IMAP mailbox. You paste the message, or forward the email to your Vuntus address.
  • It does not send quotes, invitations or reminders by email.
  • It does not sync with an ERP or CRM; it does not read live stock, convert currencies or keep cost and margin.
  • It does not stop a line over a difference in grade, concentration basis (w/w, w/v), manufacturer, delivery date or packaging: the only request-to-catalog comparison that blocks confirmation is the concentration percentage. Your team compares the rest with what the customer wrote.
  • It does not read or write SDS content. It does not check REACH, UK REACH, KKDİK (Turkey), CLP, ADR or hazard classification compliance; it only looks for a verified document record.
  • It never approves a line, a request or a quote on its own.

Who is Vuntus not a good fit for?

  • If you receive a handful of requests a day and your catalog has fewer than a few hundred products, handling them by hand or with a general chat assistant may be enough.
  • If your quotes must be created automatically inside your ERP, Vuntus does not write to an ERP today.
  • If most of your requests arrive as photos or scanned paper, Vuntus does not read lines from them; you would enter the lines by hand.
  • If you expect SDS content or regulatory compliance to be checked automatically, Vuntus does not do that.
  • If you price in pounds sterling, note that prices are currently held in TRY, USD or EUR only.

What stage is Vuntus at today?

Vuntus is currently in an invitation-only pilot; working with real customer data opens once the legal registration steps are complete. That is why you see Demo data and SYNTHETIC DEMO on screen. There is no public sign-up or free trial; accounts are created by invitation. How to start is covered in Getting started. Short answers are in the FAQ; where AI helps at the quote desk and where it is risky is covered in AI for chemical quoting.

Frequently asked questions

What does Vuntus rely on to read and match requests?

Rule-based (deterministic) software. Lines are split by rules, products are searched only in your catalog, and every suggestion shows its type and the reason for it; as of October 2026 no AI model, OCR or numeric confidence score is used. Short answers: FAQ.

Does Vuntus send the quote to my customer?

No. Once a quote is approved, you download it as PDF, HTML or CSV and send it from your own email. The app does not email customers.

Can Vuntus create quotes inside my ERP?

Not today; there is no ERP or CRM connection. Your catalog and price list come in as a CSV file and quotes go out as files. If your quotes must be created directly inside your ERP, Vuntus does not meet that need today.

Which files can Vuntus read?

Text-based PDFs, Excel (.xlsx) and CSV files, pasted email text and WhatsApp messages. Photos (PNG, JPEG) and scanned PDFs are accepted but no lines are read from them; you add the lines yourself. Details: Receiving requests.

Who develops Vuntus and where is the company registered?
